**Many Transaction Coordinators / Virtual Assistants are limited in the services they are able to provide.  As licensed Brokers we are allowed to go beyond the 'clerical'.  We have access to MO Real Estate Forms and the ability to generate amendments and other related documents (at your direction, of course) and much more!!!

Transaction Coordination Services Overview

  • Open Escrow

  • Schedule and Coordinate - From inspections and appraisals to closing, the Transaction Coordinator schedules appointments with all of the parties to make sure the right people get to the right place at the right time.  This gets the agent off the phone and back to showing properties.

  • E-Sign, Review and Submit (repeat) - A Transaction Coordinator handles sending the documents, reviewing the documents for accuracy and making sure the docs get where they need to be.

  • Track Deadlines - Deadlines Make and Break Deals.  A Transaction Coordinator Tracks Every Deadline to Make sure every 't' is crossed and every 'i' dotted from escrow until the closing is official. 

Buyer: Under Contract to Close

 

 

  • Collect All Executed Documents

  • Obtain Lender, Title Company and Cooperating Agent Information

  • Send Intro Email to All Involved Parties with Final Executed Contracts (lender, title, agent, client, agent's office)

  • Review Contract, Counters and Any Amendments 

  • Ensure Every Document if Fully Executed and Compliant with the Property Initials, Signatures and Dates (Send Documents to Client for Additional Initials and Signatures if Needed)

  • Ensure Proper Disclosures are Executed

  • Ensure Client Provided with Copies of All Signed Documents

  • Draft and Send Out All Contractual Timeframes and Contingencies and Follow up with the Removal of Each one

  • Make Sure Events or Deadlines are Calendared and Communicated to Agent

  • Generate Transmittal

  • Send Executed Package to Lender

  • Send Executed Package to Title Company to open escrow

  • Ensure Title Company is in receipt of Earnest Money, Invoices, Commission Instructions, Other Necessary Documents

  • Obtain Signed Earnest Money Receipt

  • Verify The Appraisal has Been Ordered Follow Up On Results

  • Order Survey (if applicable)

  • Order Home Warranty (if applicable) and Send Warranty Information To Listing Agent / Title Company

  • Follow Up on Loan Status/Commitment

  • Keep Agent Informed of all Communication with his/her Client and Provide Status Updates

  • Coordinate with buyer to schedule inspections within contractual deadlines & Coordinate appointments with seller

  • Forward Inspection Reports and Clearances if Applicable

  • Tracking and Certification of Repairs and Receipts

  • Follow up on Removal of All Contingencies

  • Maintain Contact with All Parties Involved for Status Updates or Outstanding Items

  • Send Invoices to Title Company

  • Schedule/Coordinate Closing

  • Schedule final Walk-Through

  • Confirm Where Keys are

  • Provide Buyer with Utility Transfer Information

  • Obtain Copy of Closing Disclosure (CD) for Client and Agent Review

  • Convey all final closing instructions to Buyer and Agent

  • Generate Amendment(s) on behalf of Agent and send for Buyer/Seller Signatures (at Agent direction)

Agent Responsibilities:

  • Confirm Transmittal/Commission Disbursement Instruction

  • Negotiate Inspections (We will follow up and generate any contract changes from the inspection resolution)

Seller: Listing Under Contract to Close

 

  • Collect All Executed Contracts

  • Obtain Title Company and Cooperating Agent Information

  • Send Introductory Email to All Involved Parties with the Fully Executed Contracts (lender, title, agent, client, agent's office)

  • Review Contract, Counters and Any Amendments

  • Ensure Every Document is Fully Executed and Compliant with the Proper Initials, Signatures and Dates (Send Documents to Client for additional initials and signatures if needed)

  • Ensure Proper Disclosures are Executed

  • Ensure Client Provided with Copies of All Signed Documents
